
For beginners, we have created short video tutorials for all modules of the gFM-Business ERP software. Each video explains all the components of the module and provides tips on how to use them.
Video tutorial for the [Customers - Overview] module
The CRM module "Customers" manages all the data of your customers, suppliers and interested parties.
In the module "Overview" in the left-hand column is the address master of the standard address. In the right-hand column, you enter settings for the customer, such as the VAT rate or the VAT ID.
In the "Details" you can specify the customer's language and price group as well as hourly rates and customer-related discounts and surcharges for items and product categories.
In the "Selections" are selection fields whose values you can freely define in the settings under [Preferences - Value lists].
The register "Fields" contains a further 20 free fields, the values of which can be set in the settings under [Preferences - Fields].
Under the tab "Media", you can save up to six important files, such as customer contracts.
The register [Files] allows you to manage any number of files.
In the "Approach" you will find a map, either from Google Maps or OpenStreetMap.
Video tutorial for the [Customers - Addresses] module
In the module [AddressesYou can save any number of addresses with e-mail and bank details for a customer. The selected standard address is also displayed in the "Overview" module.
With Click on the plus symbol you can manage up to 15 free fields per address. Define the free fields under [Settings > Preferences > Fields].
In the "Map" you can display up to 100 customers on an interactive Google Maps map.
In the "Routes" you can save any number of routes to the customer.
With Click on the "Distance" field The popover for route planning opens in the right-hand column.
Video tutorial for the [Customers - Contacts] module
In the module "Contact persons" you can save any number of contact persons for a customer. As with the addresses, a primary standard contact person can also be defined here.
In the tab [ActionsAn action history can be entered in the [Action history] field in order to be able to track the previous activities for the called customer at any time. In the bottom line of an action, you can define an appointment and a resubmission, which can also be added to the calendar.
The register [Resubmissions] shows all resubmissions due for the logged-in user, regardless of the customer called up.
The Birthday list contains all due birthdays of contact persons, regardless of the customer called.
Video tutorial for the [Customers - Services] module
In the module "Services" is the customer-related time recording. Enter items of the "Time recording" type here to document your working hours for a customer. You define the hourly rate in the customer overview in the [Details] tab, otherwise the price of the service item in item management applies.
Services can also be provided to a Project can be assigned.
Items can be marked in order to settle or delete several items.
With the Billing of services a log of all services is created, which is stored in the "Performance logs" is listed.
In the "Tickets" you will find a ticket system for support tickets. The defaults for tickets can be found under [Settings - Defaults] under the [Tickets/Projects] button. Any number of ticket messages can be saved for each ticket, which can be called up using the third icon in the left-hand column of a ticket.
Video tutorial for the [Customers - Receipts] module
The module "Receipts" in the customer module contains lists of billing documents that have been created for the customer. The documents can be called up with a mouse click in the billing module.
The tabs at the back contain lists of all the assigned SEPA mandates and Direct debits.
The last tab contains all the data assigned to the customer. Batch bookingsto be able to track deliveries at item level.
Video tutorial for the [Customers - Events] module
The module "Events" contains lists of all assigned emails and documents from the correspondence module as well as all archived documents and files.
In the tab [ProjectsAll projects in which the customer is involved are displayed.
The last tabs show all assigned bank postings from account statements, all print orders and events for the customer called up.
Video tutorial for the [Customers - Statistics] module
The module "Statistics" contains statistical evaluations for the customer called up. The tabs can be used to switch between the annual, monthly and weekly statistics as well as the previous year's statistics. Enter any start and end date in the upper fields. You can also save periods in statistics records, which you can define under [Settings - Preferences].
In the [Fields in the diagram] to define any data series to be displayed in the chart.
